Lead Project Coordinator

Salary: $50,000 - $60,000 

Location: Lombard, IL

Schedule: Full-Time | In Office

Looking for an Organized, Fast-Paced Problem Solver

TORQ Coatings is one of the fastest-growing concrete coating companies in the Midwest, and we’re looking for a Project Coordinator to help keep our operations running smoothly as we continue to scale.

This role is the bridge between our customers, sales team, and production crews. You will help manage projects from the moment they are sold until the final walkthrough is completed.

The ideal candidate thrives in a fast-paced environment, loves staying organized, communicates exceptionally well, and enjoys solving problems before they become bigger issues.

This is not a sit-back-and-watch position. We are looking for someone who takes ownership, moves quickly, and wants to grow into a leadership role as our company continues to expand.

What You’ll Be Responsible For:

Customer Communication

  • Serve as the primary point of contact after the sale
  • Confirm installation schedules and project details
  • Keep customers informed throughout the project lifecycle
  • Handle customer questions and assist with issue resolution
  • Conduct post-installation follow-up calls

Project Coordination

  • Coordinate projects from sale through completion
  • Support scheduling and logistics for up to 10-12 installation crews
  • Ensure projects remain on schedule
  • Communicate effectively between customers, sales, and production teams
  • Assist with service and warranty scheduling

Inventory & Material Support

  • Work closely with Production Management to forecast material needs
  • Submit material requests and purchase orders
  • Monitor inventory levels and communicate shortages
  • Help ensure crews have the materials and information needed to succeed

Administrative & Financial Support

  • Collect final customer payments
  • Maintain accurate project records and documentation
  • Assist with payroll verification and reporting
  • Track sales commissions and submit reports for approval
  • Support job costing and operational reporting
  • Maintain CRM accuracy and project status updates

Operational Excellence

  • Help improve systems and processes as the company grows
  • Assist leadership with reporting and operational planning
  • Support onboarding and training of future coordinators
  • Identify opportunities to improve efficiency and customer experience

What We’re Looking For

  • Comfortable working in spreadsheets and software systems
  • Ability to perform under pressure in a fast-moving environment
  • Previous experience in project coordination, construction, operations, scheduling, customer service, or home services is preferred
